The Trauma Counseling Program Administrator is responsible for maintaining client information, generating statistical reports, and assisting program staff members to ensure smooth office operations.
Responsibilities
• Act as back-up to Receptionist, on an as-needed basis, involving answering and directing calls, greeting and announcing clients/visitors, and processing incoming and outgoing mail and faxes
• Register Trauma Counseling program participants and schedule initial evaluation appointments
• Review monthly reports, service logs, and files prepared by program staff for quality control
• Collect and enter client information into the program database
• Complete monthly, quarterly, and annual reports regarding client activities
• Maintain Trauma program client files in accordance with agency policy and grant requirements
• Coordinate and conduct Trauma Counseling program informational trainings to the community ensuring client services are made known
• Substitute for group facilitators on an as needed basis
• Draft and revise Trauma Counseling program forms as directed
• Process and send monthly progress reports to Director of FVP on behalf of the Trauma Counseling program as directed
• Provide general clerical assistance for program staff
• Assist with projects as needed
• Perform other duties as assigned
Qualifications
• A high school diploma or equivalent certification is required
• A minimum of two (2) years of previous clerical experience is required preference given to candidates with mental health specific experience
• Bilingual in Spanish and English preferred
• Proficiency with Word, Excel, and Outlook
• Knowledge of general office skills, such as word processing, file maintenance, data entry, and business writing
• Knowledge of copy machines and other general office equipment
• Good telephone skills and clear speaking voice
• Good grammar, punctuation, and spelling skills
• Appreciation of diversity and a sensitivity to people of varying lifestyles, ethnicity and religious groups
